Admin Specialist

Role Summary

HanmiGlobal is seeking an Admin Specialist to join its client-side programme and construction management (PMCM) team on a major government land-development and infrastructure programme in Riyadh. A Lead Developer designs and builds the programme's infrastructure, including roads, water, sewer, storm drainage, power and street lighting, irrigation, landscape and telecom, and our team reviews, supervises and accepts that work on the client's behalf. As Admin Specialist you support financial administration for the PMCM team on one work package. You keep accurate records of project expenditure, timesheets, invoices and supporting documents in line with HanmiGlobal procedures.

Key Responsibilities

• Manage daily administrative and office operations.
• Maintain and organize project documentation, records, and filing systems.
• Coordinate meetings, prepare agendas, and record meeting minutes.
• Handle incoming and outgoing correspondence, emails, and phone communications.
• Support document control processes and ensure proper document distribution.
• Arrange travel, accommodation, and logistics for project staff when required.
• Monitor office supplies and coordinate procurement requests.
• Assist in preparing reports, presentations, and other project-related documents.
• Coordinate with internal departments and external stakeholders to facilitate smooth operations.
• Ensure compliance with company policies and administrative procedures.
• Support onboarding activities for new employees and project personnel.
• Perform other administrative duties assigned by management.

Requirements

• Bachelor's degree or Diploma in Business Administration, Management, or a related field.
• Minimum 7 years of experience in administration, office management, or a similar role.
• Strong organizational and time-management skills.
• Excellent communication skills in English; Arabic is an advantage, and accounting or ERP software.
• Proficiency in Microsoft Office applications (Word, Excel, PowerPoint, Outlook).
• Ability to maintain confidentiality and handle sensitive information professionally.
• Strong attention to detail and problem-solving abilities.
• Experience working in project, construction, engineering, or consultancy environments is preferred.
• Ability to work independently and collaboratively within a team.
